Tour Coordinator – Mushroom Booking Agency (MBA)
Founded by Matt Gudinski and Guven Yilmaz in 2023, MBA is an artist booking agency dedicated to shaping the live touring careers of acts across Australia and New Zealand. Working across all musical genres, our vision is to foster and amplify the growth of artists’ careers through our unmatched experience and industry network.
We’re now seeking a highly organised and proactive Tour Coordinator to join our team and help drive the smooth delivery of touring operations at MBA.
Overall Purpose
This role oversees the contracting and advancing workflow for all client performances. You’ll act as a central contact for promoters, venues, talent buyers, artists, and internal teams—ensuring contracts, artist assets, and confirmed show logistics are delivered accurately and on time.
Key Responsibilities
- Prepare, issue, and track performance contracts from initial data through to execution.
- Support agents with contract creation, processing, and administrative follow-up.
- Identify and resolve gaps in deal information to progress workflows.
- Build bookings, show profiles, and internal worksheets in Overture.
- Collaborate with agents and promoters to develop contract clauses.
- Manage risks and prioritise actions within the contracting cycle.
- Send artist press kits, riders, stage plots, and confirmed logistics.
- Confirm travel details with managers (travel booking not required).
- Coordinate advances with promoters, including schedules and venue information.
- Serve as the central communication point for contracts, invoices, and show details.
- Ensure timely responses (24–72 hours depending on urgency).
- Support the Managing Director with additional admin duties as required.
Required Skills and Knowledge
- Experience in music, talent, or entertainment booking.
- Strong network across venues, promoters, and festivals.
- Excellent negotiation and communication skills.
- Ability to manage multiple deadlines under pressure.
- Commercial awareness and ability to identify opportunities.
- High attention to detail and strong administration skills.
- Proficiency with booking/CRM systems or ability to learn quickly.
- Team-focused, proactive, and driven.
- Passion for live music and artist development.
