Administration Manager / Production Coordinator

An exciting opportunity has become available for a full-time Administration Manager / Production Coordinator to join The Electric Canvas at our Chatswood office.

The Electric Canvas is an Australian company specialising in large-scale projection mapping for major public events and festivals. We are internationally recognised for our creativity, technical skill and innovation.

Reporting to the General Manager and working closely with our Production Managers and Managing Director, this role is suited to a confident, highly-organised professional who thrives in a fast-paced environment. You will play a key role in supporting company projects whilst overseeing day-to-day office administration and operations.

Key Responsibilities

  • Be the professional first point of contact for clients, visitors and incoming enquiries
  • Manage office administration, scheduling, calendars and meetings 
  • Coordinate bookings and logistics for technical and creative contractors 
  • Assist with logistics and crew travel coordination, often across multiple and concurrent projects 
  • Coordinate freight and Customs procedures for interstate and overseas projects 
  • Manage office facilities, supplies, contracts, insurances and documentation 
  • Oversee HR administration including onboarding, inductions, recruitment, employee records and agreements
  • Support WHS processes and implementation of safe work practices 
  • Develop and maintain company policies, procedures and administrative systems
  • Provide operational support and general leadership across the team

About You

You are a proactive and adaptable professional with excellent organisational and communication skills, capable of managing competing priorities across a dynamic production environment. A driven professional, you bring a high level of attention to detail to your work, and love being part of a team who brings exciting events to life.

Skills & Experience

  • Demonstrated experience in office management, administration and/or executive support, ideally within the events and entertainment industry
  • Experience in travel coordination and project support an advantage
  • Strong organisational, communication and people skills 
  • Ability to multi-task, prioritise effectively and work under pressure 
  • Excellent attention to detail and strong problem solving abilities
  • Strong computer skills including Microsoft Office Suite and Google Workspace 
  • Ability to work collaboratively across administration, HR, operations and production teams 
  • Understanding of logistics or operational requirements for large-scale events is advantageous 
  • Current driver’s licence required
