Dark Mofo is Tasmania’s iconic midwinter festival of art, music, food, and noise, pushing boundaries and bringing extraordinary experiences to life.

 

We’re looking for an Artist Services Coordinator to play a vital role in supporting the delivery of Dark Mofo 2026 by managing critical logistics for all participating artists, performers, staff, and festival guests. This role encompasses the coordination of artist logistics advances, international and domestic travel, accommodation scheduling, artist accreditation and greenrooms and assisting with visa applications.

 

The role requires exceptional organisational skills, a high level of detail orientation, and a collaborative approach to ensure smooth operations from pre-production through to festival delivery and wrap. This is a contract role from January – July 2026, reporting to the Artist Services Manager.

 

The Gig

  • Work closely with the Artist Services Manager to deliver artist logistics across all areas of the Dark Mofo program.  

  • Coordinate all international and domestic flight bookings for artists and festival media, ensuring alignment with scheduling and budget constraints.

  • Manage and execute accommodation bookings for artists, staff, media, and festival guests, updating suppliers daily during the festival period as changes occur.

  • Assist with visa application processing, including collecting necessary information and submitting applications via the Home Affairs Immigration portal if required.

  • Develop and maintain the Artist Services department master tracker and key spreadsheets for efficient project management and data integrity.

  • Process and track department invoices accurately using the accounting system.

  • Liaise with external partners, including travel agents and accommodation providers, as well as internal producers and the Ground Transport Coordinator.

  • Assist with artist accreditation planning and take on necessary meet & greet responsibilities for music program artists arriving at main venues.

  • Resolve live logistics issues, such as cancelled or missed flights, and communicate changes swiftly to relevant festival teams and stakeholders.

 

The You

  • Proven experience coordinating artist logistics for festivals, events, or complex touring projects.

  • Demonstrable experience booking travel and accommodation for large groups or managing complex itineraries.

  • Highly organised and detail-oriented, with the proven ability to efficiently manage multiple timelines and competing priorities under pressure.

  • Strong written and verbal communication skills to effectively liaise with artists, agents, and external stakeholders.

  • Experience working proficiently with Google Workspace (Sheets, Docs, Drive) for data management and collaboration.

  • A collaborative and flexible approach to problem-solving, with a calm, kind, and solution-focused demeanour.

  • Willingness to work flexible hours and possess a strong work ethic during the event period.

  • Familiarity with visa application processes and experience using scheduling/event management software is highly desirable.
